Privacy Policy
This policy explains what information we collect, how we use it, and the choices you have when using ZiaSign.
Overview
This Privacy Policy explains how Zettaura Innovations Private Limited ("Zettaura," "we," "us") collects, uses, shares, and protects information when you use ZiaSign (the "Service").
The Service is designed for contract workflows, electronic signatures, and related audit trails. If you use the Service on behalf of an organization, that organization may control settings and access for your account.
Information we collect
We collect information to provide the Service, secure it, and improve it. The categories below describe what we may collect.
- Account information (e.g., name, email address, authentication identifiers, organization membership).
- Document and workflow data you upload, draft, or manage (e.g., templates, agreements, metadata, recipient routing, signing status).
- Recipient and signer data provided by you (e.g., names, emails, roles, signing actions and timestamps).
- Usage and device data (e.g., feature usage, pages viewed, browser/device characteristics, approximate location for security and localization).
- Audit and security logs (e.g., login events, access history, IP address, activity records associated with documents and signature events).
- Support communications (e.g., messages you send to support and troubleshooting data you choose to share).
How we use information
- Provide, operate, and maintain the Service (signing, routing, storage, notifications).
- Authenticate users and enforce access controls.
- Detect, prevent, and investigate fraud, abuse, and security incidents.
- Improve performance, reliability, and user experience.
- Provide customer support and respond to requests.
- Comply with legal obligations and enforce our terms.
AI-assisted features
If you choose to use AI-assisted capabilities (for example, summarization, drafting, clause suggestions, extraction, or analysis), the Service may process relevant text from your documents or prompts to generate the requested output. This includes optional features offered after a document operation completes, such as generating a summary of a file you have just produced — these run only when you select them, never automatically.
For these user-initiated features, the readable text needed to produce the output is processed transiently and is not stored, indexed, or added to any workspace, chat history, or memory by the feature. We retain limited non-content operational records (such as timestamps, feature identifiers, and outcome status) for security, abuse prevention, and service integrity.
You control what you submit to AI features. We recommend not submitting sensitive personal data unless you have the appropriate rights and safeguards.
Data retention
We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, and maintain security and auditability. Retention may depend on your plan, workspace settings, and applicable law.
Security
We implement administrative, technical, and physical safeguards appropriate for a contract and e-signature platform, including access controls and audit logging. No system is 100% secure, and you are responsible for using strong credentials and maintaining appropriate access hygiene.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, and to object to or restrict certain processing. If you use the Service through an organization, please contact your administrator first, as they may control your data and account.
Analytics & Your Preferences
ZiaSign uses Google Analytics 4 for traffic analytics and Microsoft Clarity for usage analytics (heatmaps and interaction replays). On our public marketing pages both load only where permitted by your analytics consent choice below. Inside the product dashboard, Clarity runs as product telemetry (which may include on-screen content) that we rely on to operate and improve the Service; it never runs on signing, embedded-signing, or deal-room surfaces, where session recording is disabled unconditionally. On marketing pages we additionally measure Google Ads conversions. Beyond this, we do not use advertising networks, social media pixels, or data brokers — there is no Google AdSense and no Meta Pixel.
We additionally operate first-party product telemetry (usage and error beacons sent only to our own servers). These beacons are scrubbed of personal information at ingestion, never contain document contents, and are used solely to operate and improve the Service.
Product analytics (Google Analytics 4)
Helps us understand which pages and tools are useful so we can improve them. Never used for advertising, session recording, or social tracking.

- Change anytime: your choice on this page takes effect immediately — no reload needed — and is remembered in this browser.
- Global Privacy Control (GPC): if your browser sends a GPC signal and you have not made a choice yet, we automatically decline analytics for you.
- Withdrawal: declining expires all Google Analytics (
_ga*) cookies in this browser. - Essential cookies: strictly necessary cookies (authentication, security, load balancing) are always enabled and are never used for analytics or advertising.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We will update the “Last updated” date and, where appropriate, provide additional notice through the Service.
